Dear Name,

First paragraph: a sentence or two stating why you are writing.

Second paragraph: express simply the form of goodwill you are sending on the matter from the perspective of the recipients needs, not your needs. Mention specifics, not just vague generalities. Keep is brief.

Third paragraph: close by telling the addressee if there is something that you want them to do or what you can offer them.. Give your address and/or phone number at the end to be sure it's easy for the addressee to find it. End with a final expression of goodwill.
