Receptionist/Assistant Position Concept •To operate as a focal point for visitors, telephone calls, e-mails, faxes, travel and social arrangements, etc. Principal Responsibilities • To operate the switchboard • To treat incoming e-mails • To treat incoming/outgoing faxes • To keep flexi-time sheets up-dated • To manage the reception shop (stock and petty cash) • To welcome visitors • To reserve accommodation for visitors • To reserve restaurants for lunches/dinners • To make travel and visa arrangements • To look after the WSB car reservations • To assist the General Management Department with secretarial duties • As required or requested by the line Manager, assist with or accept other responsibilities in the Office • Special Responsibilities • WOSM Directory (in liaison with IT Director): To enter data and to keep the database up-to-date, making the necessary changes/additions on a daily basis • World Scout Committee & other meetings - To select and reserve hotel accommodation for all participants - To co-ordinate airport pick-ups & returns with the driver - To order and co-ordinate lunches served at the WSB -To select and reserve restaurants for dinners - To produce necessary lists (arrivals/departures/ accommodation) - To prepare Welcome Kits for all participants - To liaise with Accounting Unit • World Scout Conference & World Scout Youth Forum (every 3 (three) years): - To carry out the registration procedure into the computer programme for both events - To maintain administrative contacts with participating delegations Term of Office Open ended Reports to • The Director, Administration, Finance and Personnel and • ultimately to the Deputy Secretary General, Executive Director, General Management Qualifications •Completion of secretarial school •Experience in organisation of travels •English mother tongue with Excellent command of French and vice-versa • Knowledge of other Personal Profile • Team spirit, discretion, accuracy and reliability indispensable • Good presentation • Easiness in contact with people • Ready to ensure reception duties on weekends during meetings
